External Calendar Sharing

Overview 

Sharing calendar views with viewers outside of Kapost allows you to communicate key dates with important stakeholders. Commonly, users of Kapost use the external calendar to share publish or go live dates as well as key dates for specific initiatives. Any date you capture in a workflow can be displayed on a calendar.

External calendar sharing is enabled through the Calendar settings using the option to Allow instance members to share calendars with non-members. External calendar access can be limited to specific IP addresses, or ranges of addresses. The external calendar view allows a viewer to toggle through time or adjust the view to a daily, weekly, or monthly view. Clicking on a content asset in the external calendar will display additional task details in the preview pane.

To share a calendar view begin by creating the desired calendar view. Then choose the option to share the calendar with non-members. Use the URL provided to share the calendar externally. Your Kapost Admin must enable calendar sharing in the Calendar Settings. One calendar view per URL is allowed. You can use the filters and the key functionality to create the desired calendar view. Non-Kapost members will see less information than a Kapost member when clicking on a content asset in the external calendar view.



Steps to Share a Calendar using a URL:
1. Create a saved view within the Kapost Calendar (see Creating a Calendar View).
2. With the saved view displaying click the share icon.
3. Toggle the option to allow non-members to view the calendar.
4. To share the URL select the Copy URL button.
5. Press the escape key to close the dialog box.

Steps to Embed a Calendar using an embed code:
1. Create a saved view within the Kapost Calendar (see Creating a Calendar View).
2. With the saved view displaying click the share icon.
3. Toggle the option to allow non-members to view the calendar.
4. Select the Embed option then select the Copy URL button.
5. Press the escape key to close the dialog box.

Steps to Enable External Calendar Sharing in Settings:
1. From the left navigation menu, select Calendar settings.
2. In Sharing, select the option to allow instance members to share calendars with non-members.
3. To restrict IP address access to external calendars, select the limit external calendar access to certain IP addresses and then enter the IP address or range of addresses. The list of publicly shared views will display in the Sharing section.
4. Click the Save Changes button.

 

Please note, what you can see in a shared calendar views depends on the person who shared it.

For instance, if an admin or editor, who is able to see any asset, shares a calendar, the shared calendar view would include all assets that fit within the chosen set of filters.

If, on the other hand, a contributor with limited visibility shares a calendar view, only the assets that that person can see will appear on the shared view.  



Personas and Buying Stages in Key

Personas and buying stages are now made available in the Calendar view key functionality.
