Stages

Use the Stages feature to track when Kapost assets are planned, in progress, or complete. This will replaced the in-production and post-production statuses of content used in the past. Instead of tying status to workflow, users now have more control over how they want to communicate the status or stage of content assets or initiatives.

Stages will allow you to:

  • Easily know where content assets and initiatives are in the content lifecycle. 
  • Easily change the stage of content assets and initiatives. This can be done individually or in bulk. 
  • Filter content assets and initiatives by stage in the Calendar, Content Catalog, Initiative Catalog and Custom Reports.
  • Filter content assets by stage within an initiative.
  • View the content asset and initiative stage from the preview pane. 

Understanding Stages

Planned means the content asset or initiative will be worked on in the future and the creation process has not started yet. When you create a content asset or initiative, the asset is considered "Planned" in Kapost.

In Progress means the creation process has started. The stage will automatically switch from Planned to In Progress when you check off the first task in the workflow. You can also make an asset complete by changing the stage manually. 

Complete means the content asset or initiative is complete and the creation process is finished. When all of the tasks are checked off on an asset workflow, Kapost will automatically make the asset complete. You can also make an asset complete by changing the stage manually. 

Note:

A pop up will appear when you check off the last unchecked task in a workflow asking you if you would like Kapost to switch the stage from In Progress to Complete. Clicking Yes, will switch the stage to complete. 

There is a setting under Settings>Content that will allow you to start all content and initiatives in the In Progress Stage. Admins should check this box in settings if the Planned Stage is not useful to your team. 

Updating Stages

Steps to change the stage of an individual content asset:

  1. Navigate to the individual content asset.
  2. Select the correct stage. 

Steps to change the stage of an individual initiative:

  1. Navigate to the initiative.
  2. Click the edit icon in the top right corner. 
  3. Select the correct stage.
  4. Click Done.

Steps to change the stages of content or initiative assets in bulk: 

  1. Navigate to the content or initiative catalog.
  2. Select the checkbox(es) next to the appropriate assets.
  3. Select the bulk actions menu.
  4. Select Set Content Stage.
  5. Select the correct stage.
  6. Click Save. 

Steps to filter by stages in the content and initiative catalogs:

  1. Navigate to the content or initiative catalog.
  2. Select the appropriate stage(s) in the top right corner.  Selecting multiple stages will bring up all content assets or initiatives in those stages.
  3. See the stage in the Stage Column.

Steps to change the stages of content assets in an initiative:

  1. Navigate to the appropriate initiative.
  2. Select the checkbox(es) of the appropriate content assets.
  3. Select the bulk actions menu.
  4. Select Set Content Stage.
  5. Choose the correct stage. 
  6. Click Save.

 

Steps to filter content by Stage in an initiative:

  1. Navigate to the appropriate initiative.
  2. Select the Sort By dropdown menu
  3. Select Stage.
  4. See the content stage in the right column
